Initial response categories sum to 150 while the initial dashboard displays 151 contacts. The frozen 21 October response categories reconcile exactly to 194. The difference is retained transparently rather than silently corrected.

The decisive operational action: After the first round revealed declined invitations, the organiser invited additional contacts who had originally been left out. This helped make better use of invitation capacity while maintaining important business relationships.

Three advantages the organiser gained

1. Room to invite others

Instead of waiting until the event, the organiser could act on recorded declines and expand the contact list by 43—bringing more previously excluded invitees into consideration.

2. Clearer hospitality planning

103 confirmed guests gave the team a more useful headcount than assuming all 194 invitation contacts would attend. This supports better-informed catering and seating decisions.

3. Less unresolved follow-up

Pending contacts declined from 55 to 30 even while the list expanded. The organiser could focus remaining communication on people who had not yet replied.

These are documented workflow and RSVP outcomes. Specific monetary savings, physical attendance and guest satisfaction have not been independently measured.

Beyond a yes-or-no RSVP

Count-Me.In is an AI-powered WhatsApp guest-management platform. Questions about this case study

What did Count-Me.In help the Dubai corporate organiser achieve?

The organiser used RSVP declines to expand the invitation list from 151 to 194 contacts, while tracking 102 accepted contacts, 62 declines, 30 pending contacts and 103 confirmed guests at the 21 October freeze.

Did the event have 103 attendees?

103 was the confirmed guest headcount in the frozen pre-event RSVP dashboard. Actual attendance at the 24 October event was not established by this snapshot.

How many additional invitations were sent?

The invitation contact list grew by 43, from 151 to 194. The organiser reported inviting previously left-out contacts after seeing declines.

Does this prove a specific cost saving?

No. Earlier declines and accurate headcounts can help improve venue and catering planning, but no audited cost saving has been supplied.

What the frozen RSVP dashboard proves — and what it does not

The host froze the guest-response data on 21 October, ahead of the event scheduled for 24 October 2026. The dashboard shows 194 invitation contacts, 102 accepted contacts, 62 declined contacts, 30 pending contacts and 103 confirmed guests. It supports the planning benefit of extending invitations to 43 more contacts than the initial 151-contact list.

The screenshot does not establish the number of people who actually entered the venue on 24 October or any measured catering savings. Those outcomes require separate gate or organiser records.
