1. Overview
This Privacy Policy explains how Star Network Solutions ("Count Me In", "we", "us") handles personal data when a Host uses our service to invite Guests to an Event over WhatsApp. It applies to our website and to the service itself.
2. Two different roles — and why it matters
Our role depends on whose data it is.
| Data | Our role | What that means |
|---|---|---|
| Host account, quotation and billing data | We are the controller / data fiduciary | We decide how it is used, and this Policy governs it directly. |
| Guest data uploaded by a Host, and Guest replies | We are the processor, the Host is the controller | The Host decides who is contacted and why. We act only on the Host's instructions. |
If you are a Guest and you want your data removed or you object to being contacted, the Host who invited you is the right first point of contact, because it is their guest list. You may also write to us using the details at the end of this Policy and we will act promptly and inform the Host.
3. What we collect
From Hosts
- Name, WhatsApp number, email address and, where applicable, company details.
- Quotation enquiry details — your name, the event type, the event date, the number of guests, the main country code of your guests and any promotion code.
- Event details you enter — event name, date, venue, host names and message content.
- Payment records. Card and bank details are handled by our payment gateway and are not stored by us.
Guest data uploaded by the Host
- Guest name and WhatsApp number.
- Any invitation card, image, PDF or video you attach, and any link you supply.
- Optional grouping information, such as which side of the family a Guest belongs to, or a preferred language.
Guest replies collected during the Campaign
- Whether the Guest is attending, and the number of people in their party.
- The content of their messages, including voice notes, and our transcription and translation of them.
- Dietary preferences — for example vegetarian, vegan, Jain, halal, allergies.
- Message delivery, read and reply status and timestamps.
Technical data from our website
- Standard server and security logs, including IP address, browser type and pages viewed.
4. Why we use it
- To send your invitations, collect RSVPs and present the results — the core of the service.
- To reply to Guests in their own language, which requires processing the content of their messages.
- To prepare your quotation and respond to your enquiry.
- To take payment, issue invoices and meet tax and accounting obligations.
- To keep the service secure and prevent misuse.
We do not use Guest data to build marketing lists, to advertise to Guests, to train any general-purpose model of our own, or for any purpose other than running the Host's Event.
5. Our legal basis
For Host data, we rely on performance of our contract with you, on our legitimate interest in operating and securing the service, and on compliance with legal obligations.
For Guest data, the Host is responsible for having a proper basis to share those contact details and to have those Guests messaged about the Event. The Host warrants this to us in our Terms & Conditions.
6. Who we share it with
We never sell, rent or trade personal data, and we never share it with any third party for that party's own purposes. No Guest list is ever disclosed to another Host, to advertisers, or to anyone else.
To operate at all, the service necessarily relies on a small number of providers who act strictly on our instructions:
| Provider | Why |
|---|---|
| WhatsApp / Meta Platforms | The messaging channel itself. Messages are delivered through WhatsApp and are subject to their own privacy terms. |
| Google Gemini | To understand Guest replies, including voice notes, and to compose responses in the Guest's language. |
| Contabo (Germany) | To host the application and store data securely. |
| Bank transfer or UPI | To take payment. They receive billing data, not Guest data. |
We may also disclose data where we are legally required to, or to establish or defend legal claims.
7. The Host's download, and what follows
The Host may download the complete guest list and all responses at any time while the Event is live. This is deliberate: the data belongs to the Host's Event.
Once a Host downloads that data, it leaves our systems and our control, and responsibility for it passes entirely to the Host — including keeping it secure, limiting who can see it, using it only for the Event and deleting it when it is no longer needed. We are not responsible for what happens to a copy after it has been downloaded.
8. How long we keep it
| Data | Retention |
|---|---|
| Guest names, numbers, replies, voice notes, dietary data, invitation files, chat records | From the creation of the Event until its last date, then permanently and irreversibly deleted. |
| Host account and contact details | While your account is active, then deleted on request. |
| Invoices, payment and tax records | Retained as long as required by law. These contain billing information only — no Guest chat content. |
| Security and server logs | [90] days. |
9. Where data is held and transfers
Data is hosted in Germany (Contabo). Because WhatsApp and our other providers operate internationally, some processing may take place outside your country. Where data is transferred across borders, we rely on appropriate safeguards and require providers to protect it to a standard consistent with this Policy.
10. Security
We use encryption in transit, access controls limiting Event data to those who need it, and audited administrative access. Message content in WhatsApp is additionally protected by WhatsApp's own transport security. No system is perfectly secure, and we cannot guarantee absolute security — but we will notify affected users and the relevant authority of any qualifying personal data breach as required by law.
11. Your rights
Subject to applicable law, you may request access to your data, correction of it, deletion of it, a copy in a portable form, or restriction of or objection to certain processing. You may also withdraw consent where processing relies on consent.
If you are a Guest, contact the Host who invited you, since it is their guest list and they decide who is contacted. You may also write to us and we will act promptly and notify the Host. If you no longer wish to receive messages about an Event, you can reply to the WhatsApp conversation asking to be removed, or block the number, and we will stop messaging you.
We will respond within the period required by applicable law. There is no charge unless a request is manifestly unfounded or excessive.
12. Children
The service is intended for adults. We do not knowingly collect data directly from children. A Host may include a child's attendance within a family's guest count; that information is provided by the responsible adult and is deleted with everything else at the end of the Event.
13. Cookies and browser storage
Our website does not use advertising or third-party tracking cookies. To show the appropriate India or international website experience, the homepage may request an approximate country lookup using the visitor's IP address. The lookup provider receives the IP address as part of that request. We store only the resulting two-letter country code in your browser's session storage so we do not have to look it up again during the same visit. That session value is cleared when you close your browser.
14. Grievance Officer and contact
If you have a question or a complaint about how your data has been handled, please contact our Grievance Officer:

We may update this Policy from time to time. The current version is always published at https://count-me.in/privacy-policy.html with the date of last update shown at the top. Material changes will be notified to active Hosts.
