Why Indian wedding RSVP is different
An Indian wedding often contains several events with overlapping but not identical guest lists. The same family may have four people at the wedding, two at the mehendi and six at the reception. A single “attending/not attending” column cannot express that cleanly.
The RSVP system therefore needs to understand people, families and functions separately.
Build the guest list around functions
Before sending the first message, identify the functions that require independent attendance counts: engagement, mehendi, haldi, sangeet, wedding ceremony, reception, after-party or any private family event. Then mark which guests are invited to each.
Operational rule: catering and venue teams should receive the headcount for their specific function — not the total number of people invited to the wedding week.
Track families without losing individual counts
Many invitations are addressed to a family rather than a single individual. Your RSVP should still capture the number attending. For example, “Mr & Mrs Shah & Family” is not useful to a caterer until the host knows whether that means two attendees or five.
A good workflow asks the guest for the attending headcount and, where necessary, which members/functions are involved.
Make it easy for every generation to reply

- Guest/family name and WhatsApp number.
- Confirmed, declined or awaiting status.
- Attending headcount.
- Function-wise attendance.
- Dietary preferences where collected.
- Notes required by the host or operations team.
The point is to hand the caterer or venue a decision-ready list rather than asking them to interpret WhatsApp chats.
